Organization Terms
Version 2026.09.24 · Effective September 24, 2026
These terms supplement the Terms of Service for organizations using Coaches Hive.
1. Authority and accounts
The person accepting these terms represents that they are authorized to bind the organization. The organization is responsible for its administrators, permissions, members, account security, and all activity performed through its workspace.
2. Subscription and cancellation
Organization subscriptions renew for the billing interval and price presented at checkout until canceled. Organizations may cancel online. Cancellation stops future renewal and access continues through the paid billing period. Unless required by law, unused time is not prorated or refunded.
3. Organization and athlete data
The organization controls the information it submits and instructs Coaches Hive to process that information to provide the service. The organization must have lawful authority and provide required notices before uploading athlete or minor information. This responsibility does not transfer any independent notice or consent obligation of Coaches Hive. Information about children under 13 is also governed by the Children's Privacy Notice.
4. Programs, registrations, and documents
The organization is responsible for its programs, eligibility rules, descriptions, prices, schedules, waivers, required documents, participant decisions, and compliance obligations. Coaches Hive provides administration tools but does not approve the organization’s legal forms or participation requirements.
5. Payments
Payment collection and payouts are subject to the Payment Services Terms. The organization is responsible for its customer-facing prices, refund policies, taxes, chargebacks, and fulfillment obligations.
6. Permitted use
The organization will comply with the Acceptable Use Policy, protect credentials, assign appropriate access, and promptly remove access from people no longer authorized.
7. Suspension and termination
Coaches Hive may restrict access for nonpayment, unlawful conduct, security risk, fraud, or material breach. After cancellation or termination, unresolved payments, refunds, disputes, legal holds, and record-retention obligations may continue.
8. Data return
Organizations should export needed records before access ends. Data retention and deletion are governed by the Terms of Service, Privacy Policy, Data Processing Addendum, applicable law, and any written order form.
9. Order of terms
A signed order form may modify these terms for a specific organization. If no signed order form exists, the online terms and the checkout terms form the agreement.
10. Contact
Questions may be sent to support@coacheshive.com.
11. Organization operations and safety
The organization is solely responsible for its programs, participant eligibility, supervision, emergency procedures, physical-activity and medical clearances, publicity permissions, participation and liability waivers, and vetting or background checks for its personnel and volunteers. Coaches Hive supplies software and does not operate or supervise the organization’s activities.
12. Confidentiality and intellectual property
Each party will protect nonpublic information received from the other and use it only for the agreement. The organization retains its submitted content. Coaches Hive retains the platform, software, documentation, trademarks, and aggregated or de-identified information that cannot reasonably identify an individual or organization.
13. Service changes and availability
Coaches Hive may maintain, improve, or modify the service and does not promise uninterrupted availability. Material removal of a paid core feature will be communicated when reasonably practicable. Any service level commitment must be stated in a signed order form.
